PowerSchool & EduTrak API Integration Roadmap

This article summarizes the steps to integrate EduTrak and PowerSchool. This is designed for new and prospective customers to give them a high-level introduction to the process.

Integration Roadmap

To ensure a smooth setup and data flow between PowerSchool and EduTrak, we will follow the steps below:

Step 1: Plugin Installation

  • Install two EduTrak-generated plugins on your PowerSchool server:

    • These plugins will be shared with you via a Google Drive link.

    • The shared folder includes step-by-step installation instructions.

    • One of the plugins, titled “SmartSchoolK12,” includes critical connection credentials: the API Client ID, and API Client Secret.

    • These credentials should be copy and pasted into the “Information for Techs” document along with your PowerSchool URL.

Step 2: EduTrak Configuration

  • Configure settings within EduTrak to allow daily syncing of student and parent data.

  • Ensure secure and accurate data transfers.

  • This takes about 30 minutes and takes place during a 1-hour configuration and training with our DataBridge product specialists

Step 3: Student Assignment

  • Use the Student Assignment Tool to assign students to their appropriate households or family accounts.

  • This establishes the foundational structure for managing family-based data.

  • This will also be covered in the 1-hour training and will take about 20 minutes. The actual assignment process usually takes longer than we have for the meeting. The rest of the assignment should be done by the school administrator after the training. 

Step 4: DataBridge Training

  • Provide an overview of the DataBridge interface.

  • This is the final piece of the 1-hour training, and it takes about 10 minutes. 

Step 5: Single Sign-On (SSO) Integration

  • The installed plugins also enable Single Sign-On (SSO) for parents into the EduTrak Parent Portal.

  • To set up and test SSO functionality, we will need the Access ID and Access Password for at least one student in your district.

    • These credentials should be added to the “Information for Techs” document alongside the other integration details.

  • The SSO login button can remain hidden until you're ready to launch access for parents.

    • Please provide the preferred date and time for when you'd like this feature to go live.

Conditional Step 6: Food Service Transition

  • For schools using EduTrak’s Food Service solution, we will need to import key data from your previous system:

    • Lunch Balances: A file with Student ID in Column A and Balance in Column B.

    • Free & Reduced Statuses: A file with Student ID in Column A and F&R Code (or Economic Indicator) in Column B.

  • It is crucial that both files are produced and sent to us on the same day your current food service system is shut down.

    • This ensures there is no gap or overlap in service—EduTrak should take over operations immediately after the old system is turned off.

  • Please include the specific date and time you'd like EduTrak to begin managing lunch balances and Free & Reduced statuses.
