What is a Shared Program Year?


Program Year (Shared vs. Non-Shared)

  • Program Years help organize and track data by school year (e.g., 2025–2026).

  • To reduce setup time and database clutter, EduTrak automatically creates shared program years for commonly used school years.

  • A shared program year is available to all districts using the system — no need for each district to create their own.

  • This setup simplifies system maintenance and ensures consistency across districts.

  • While not critical for day-to-day users, the "isShared" flag can help distinguish between system-created (shared) and district-created program years.

  • If a district creates a custom program year (e.g., also called 2025–2026), both versions will appear — the shared one can be identified via the isShared marker. Ultimately, having two program years that represent the same period is not an issue. However, it is best practice to stick with one or the other as you create fees, contracts, payment plans, etc. EduTrak recommends not creating your own version and using the shared Program Year for simplicity and consistency.
